About Girls Preparatory School

The mission of Girls Preparatory School (GPS) is to inspire each girl to lead a life of integrity and purpose by engaging her mind, cultivating her strengths, and nurturing her self-confidence and respect for others. Currently, 130 faculty and staff serve approximately 500 girls in grades 6-12 with a college preparatory curriculum that includes a full complement of courses in the humanities, STEM, the arts, and more, as well as a rich and varied cocurricular program.

Position Summary

We are seeking a highly organized, detail-oriented, and proactive individual to support the Admission and Development Teams. This role focuses on executing logistics; managing internal systems and workflows; supporting external events, campus visits, and communications planning; ensuring accurate and timely flow through ongoing projects. This position plays a critical role in ensuring smooth operations across departments and contributing to overall organizational success.

Duties and Responsibilities

Reporting to both the Director of Development and the Director of Enrollment, the person in this role will:

  • Manage project and event timelines and tasks across Admission/Enrollment and Development initiatives through an online project management tool by ensuring tasks are assigned, deadlines are met, and next steps are clearly documented; 
  • Answer incoming phone calls and troubleshoot related questions, serving as a point of contact for daily Admission and Development inquiries;
  • Partner with the Marketing and Communications team to ensure relevant website content is accurate and up to date across departments;
  • Prepare materials and nametags for constituent meetings, events, and programs; 
  • Support campus tour logistics and scheduling and calendar coordination with the Senior Leadership Team and/or athletic coaches;
  • Secure internal and external vendors and ensure required documentation is submitted to the Business Office;
  • Provide logistical preparation and onsite support for events;
  • Process and upload applications and supporting documents in the admission platform;
  • Perform other duties as assigned in support of institutional priorities; and
  • Ensure confidentiality and appropriate handling of sensitive donor/family and institutional information.

Desired Qualifications

  • Associate’s or bachelor’s degree preferred;
  • 2–4 years of administrative, coordination, or office management experience, preferably in an educational or nonprofit environment;
  • Strong proficiency with office productivity tools and systems (e.g., Google Office Suite, Basecamp, Finalsite, JotForm);
  • Experience with project management and supporting event logistics; 
  • Excellent organizational skills with strong attention to detail;
  • Clear and professional written and verbal communication skills; and
  • Ability to manage competing priorities, meet deadlines, and adapt to changing needs
